1. Overview
EduOffice is a software platform that institutes use to manage attendance, fees, salaries, results and communication. This policy explains what information passes through the platform, how it is used, and who is responsible for it.
2. Who controls the data
Each institute using EduOffice is the data controller for its own records. Institute administrators create and manage student, parent and staff accounts, and are responsible for having the appropriate consent to enter that information into the system. EduOffice acts as the platform the institute uses to store and process that data.
3. Information we handle
- Institute details — name, branding, contact information.
- Staff accounts — name, role, contact details, salary and attendance records.
- Student records — enrollment details, attendance, fees and academic results, entered by the institute.
- Parent/guardian details — name and contact information, used to deliver attendance, fee and result updates.
- Account information — login credentials and role-based permissions for anyone using the platform.
- Contact form submissions — name, email, phone number and message, if you reach out to us directly.
4. How information is used
Information in the platform is used to operate the features an institute has set up — marking attendance, tracking fees and salaries, publishing results, and sending SMS notifications to parents and staff. We do not sell institute, staff, parent or student data, and we do not use it for advertising.
5. Sharing with third parties
Notifications are delivered through an SMS gateway provider solely to send the messages an institute triggers (attendance, fee reminders, results, announcements). We do not share institute data with third parties for any other purpose except where required by law.
6. Data access and security
Access within the platform is role-based — a user only sees the data their role permits. Each institute's data is kept separate from other institutes on the platform. Access to the application requires an authenticated account; there is no anonymous or public access to institute data.
7. Children's data
Student records may include information about minors. This information is entered and managed by the institute itself, not collected directly from students by EduOffice, and is used only for the academic and administrative purposes the institute sets up on the platform.
8. Data retention
Institute data is retained for as long as the institute uses the platform. If an institute stops using EduOffice, retention or deletion of its data is handled according to the agreement between the institute and EduOffice.
9. Your rights
If you are a parent, staff member or student whose information appears on the platform, requests about that information (access, correction or removal) should first go through your institute's administration, since they control the record. You can also contact us directly at the details below.
10. Changes to this policy
We may update this policy as the platform evolves. Material changes will be reflected by updating the date at the top of this page.
